St. John’s Presbyterian Church – Church Program Administrator

St. John’s Presbyterian Church is seeking qualified candidates for a Church Program Administrator (CPA) position. This position reports to the Head of Staff (Pastor) and is 19 hours per week, 100% presence in an office setting (no virtual or hybrid work), with additional hours as authorized by the Commission on Administration and Personnel. Payment will be at rate of $28.84 per hour, plus benefits as specified in the Employment Policy Handbook.

Communications, Marketing & Outreach:

  • Prepare worship bulletins and materials
  • Create clear, engaging, timely, branded communications church signage, posters, newsletters brochures, press releases, emails, and mailings to encourage community and congregational participation
  • Update social media with regular announcements (Facebook, Instagram, YouTube), and other platforms
  • Make regular and relevant updates to the church website, weekly
  • Research, maintain, and update free online listings for church activities (education, events, worship, justice actions)
  • Use Mailchimp for outbound communications, surveys, emails, and newsletters
  • Track and report on user engagement to inform outreach strategies and attract new members
  • Articulate and propose processes for requesting communications
  • Propose and manage a simple communications budget

Office Operations & Administrative Support:

  • Answer the church telephone and welcome office visitors
  • Order facility and office supplies, equipment, and furniture
  • Maintain familiarity with church computers and office equipment; identify when outside support is needed
  • Provide advice and support to the COA, and office volunteers
  • Assist in onboarding new employees

Volunteer Coordination & Community Engagement:

  • Work with the COA and office volunteers to maximize effective volunteer use
  • Represent the church by gathering, clarifying, disseminating information, and coordinating activities
  • Build strong working relationships with internal and external groups through effective communication and interpersonal skills
  • Engage with St. John’s community

Governance, Leadership & Staff Support:

  • Meet weekly with the Pastor and church staff
  • Assist the Pastor in all aspects of his work upon request
  • Assist the Clerk of Session with preparation and maintenance of correspondence, minutes, and other documents
  • Assist with preparation of the Annual Report, Presbytery Reports, Church Directory and other church-related documents
  • Exercise independent judgment in case of emergencies
  • Occasionally attend commission meetings

Facilities, Building Use & Event Coordination:

  • Support as needed Church Operations Administrator (COA) to support groups using church facilities
  • Develop and implement programs to market church facilities to potential non-profit users
  • Receive and respond to requests and complaints from building users in coordination with the COA; report serious complaints to the Head of Staff
  • Foster collaboration between church programs and external building users

Scheduling, Calendaring & Records Management:

  • Maintain the church calendar, including all on-site and off-site events
  • Ensure event information is readily available to paid staff and office volunteers
  • Maintain accurate and up-to-date electronic and/or paper church records and files
  • Maintain room reservation and scheduling systems (with COA)
  • Maintain awareness of the congregational membership database; train and support others in its use

Qualifications & Skills:

  • Strong organizational and administrative skills with attention to detail
  • Excellent written and verbal communication skills
  • Ability to manage multiple priorities and work independently
  • Comfort working with a diverse group within the congregation and, community
  • Proficiency with office technology, email platforms, websites, and social media
  • 5 years of experience with Microsoft Word, Adobe Photoshop, Google Docs & Calendar, Mailchimp (or similar communication tools)
